As we grow, we are looking for a strong Executive Assistant to the CEO to help create more order, focus, and follow-through around the CEO’s time, priorities, and day-to-day execution.

About the Role

This is a high-trust role for someone who knows how to support a fast-moving CEO with calmness, structure, discretion, and strong follow-through.

The Executive Assistant to the CEO will help manage the CEO’s calendar, meetings, travel, sourcing needs, and day-to-day coordination so that time is better protected, priorities are clearer, and execution is smoother.

This role is ideal for someone who is highly organized, proactive, resourceful, and quietly confident. Someone who enjoys making life easier for a high-performing executive by thinking ahead, handling details well, and ensuring important things do not fall through the cracks.

This is not just a scheduling role. It is a support role built around judgment, prioritization, coordination, and reliability.

You will not be expected to run the business on behalf of the CEO. Your job is to protect the CEO’s time, reduce unnecessary friction, handle logistics well, and make day-to-day execution easier and more efficient.

What You’ll Own

You will support the CEO’s effectiveness and day-to-day flow by owning:

Calendar and Schedule Management

  • Planning and managing the CEO’s calendar with strong attention to priorities, timing, and efficiency
  • Scheduling internal and external meetings
  • Coordinating reschedules, confirmations, and meeting logistics
  • Protecting time for focused work, decision-making, and high-priority responsibilities
  • Helping ensure the CEO’s time is being used intentionally and not reactively

Meeting Coordination

  • Booking meetings and managing meeting-related logistics
  • Confirming attendees, times, venues, and relevant materials
  • Preparing meeting reminders and helping the CEO stay organized ahead of important calls or sessions
  • Supporting smoother follow-through after meetings where needed
  • Helping prevent scheduling clashes, missed meetings, or poor preparation

Travel Planning and Logistics

  • Booking flights, hotels, airport transfers, and other travel arrangements
  • Building clear travel itineraries and making sure all logistics are in place
  • Coordinating local and international travel details where needed
  • Helping ensure travel plans are smooth, practical, and well organized
  • Managing travel-related changes quickly and calmly when plans shift

Sourcing and Research Support

  • Sourcing materials, assets, and items the CEO may need for business use, creative projects, events, gifting, or brand-related tasks
  • Researching options for fixtures, shoes, bags, props, materials, vendors, and related needs
  • Comparing options based on quality, cost, timeline, and suitability
  • Presenting organized recommendations for decision-making
  • Helping the CEO move faster by doing high-quality research and groundwork in advance

Administrative and Executive Support

  • Helping manage day-to-day executive coordination and logistics
  • Drafting or organizing simple documents, notes, and task lists where needed
  • Tracking key follow-ups and reminders for the CEO
  • Helping ensure important deadlines, commitments, and to-dos are not forgotten
  • Supporting smoother execution across multiple moving parts

Communication and Coordination

  • Coordinating with internal team members, vendors, partners, and external stakeholders where needed
  • Sending confirmations, updates, reminders, and logistical information clearly and professionally
  • Helping reduce back-and-forth by keeping communication organized
  • Supporting the CEO with timely coordination across business priorities

Priority Protection and Follow-Through

  • Helping the CEO stay focused on what matters most
  • Identifying avoidable distractions, inefficiencies, or scheduling issues early
  • Making sure important items are followed up properly
  • Creating clarity around what needs to happen next and when
  • Acting as a reliable support layer that increases focus and reduces mental load

  • The CEO’s calendar is better organized, better protected, and more intentional
  • Meetings are booked properly, prepared for, and less chaotic
  • Travel plans are smooth, accurate, and well coordinated
  • Sourcing and research tasks are handled quickly and thoughtfully
  • Fewer important tasks, reminders, or commitments fall through the cracks
  • The CEO spends less time on logistics and more time on leadership, strategy, and decision-making
  • Day-to-day execution around the CEO feels calmer, clearer, and more reliable
  • The role becomes a trusted layer of support, not another source of confusion or follow-up

Who You’ll Work With

You will report directly to the CEO.

You will work most closely with:

  • The CEO
  • Internal team members across the business
  • External vendors and service providers
  • Travel providers, venues, and other third parties where needed

You will be expected to represent the CEO and the company professionally in everyday coordination and communication.

What We’re Looking For

We would love to hear from you if you have:

  • Experience as an Executive Assistant, Personal Assistant, Chief of Staff support, or senior administrative support professional
  • Strong experience with calendar management and meeting coordination
  • Experience booking travel and handling logistics with good attention to detail
  • Strong research and sourcing ability
  • Excellent organization and follow-through
  • Strong written and verbal communication
  • Good judgment and the ability to prioritize well
  • Comfort using tools like Google Calendar, Google Workspace, spreadsheets, Notion, and other productivity tools
  • A high degree of discretion, trustworthiness, and reliability
  • Experience in a fast-moving company, founder-led business, luxury brand, ecommerce business, or consumer brand is a strong advantage
