As the business continues to grow, the Co-Founder’s time has become one of the company’s most valuable resources. We’re looking for someone who can protect that time, remove operational friction, and ensure the Co-Founder can focus on the conversations, decisions, and opportunities that move the business forward.
About the Role
This is a close, trusted role working directly with the Co-Founder.
We’re looking for a highly organised, proactive Personal Assistant who can own scheduling, executive administration, outreach coordination, logistics, research, and follow-up, ensuring that the Co-Founder spends as little time as possible on recurring operational tasks.
This is far more than managing a calendar. You’ll become the person who keeps priorities moving, ensures nothing slips through the cracks, coordinates conversations before they reach the Co-Founder, and handles the countless administrative details that allow the business to move quickly.
Your role is simple:
Protect the Co-Founder’s time. Increase the Co-Founder’s leverage. Ensure execution happens.
What You’ll Own
Outreach & Relationship Coordination
- Build and maintain contact lists based on the Co-Founder’s direction.
- Draft personalised outreach while maintaining a natural, professional tone.
- Handle first-touch conversations using approved messaging and talking points.
- Ensure every important relationship receives timely follow-up.
Executive Administration
- Manage the Co-Founder’s calendar, appointments, and daily schedule.
- Coordinate meetings, calls, travel, logistics, and reservations.
- Prepare agendas, briefing notes, research, and relevant documents ahead of meetings.
- Organise digital files, documents, and information so they’re always easy to access.
- Turn loose ideas and voice notes into polished documents, emails, presentations, and reports.
- Handle recurring administrative responsibilities with minimal supervision.
Personal Support & Executive Prioritization
- Manage the Co-Founder’s day-to-day priorities, ensuring commitments, deadlines, and follow-ups are always organised.
- Keep track of ongoing personal and business action items, ensuring nothing important is forgotten or delayed.
- Handle scheduling, logistics, travel arrangements, appointments, and administrative tasks on the Co-Founder’s behalf.
- Anticipate upcoming needs by preparing documents, research, briefing notes, and information before they’re requested.
- Act as the Co-Founder’s first point of coordination, filtering requests and protecting time so attention stays on the highest-value decisions.
- Follow through on delegated tasks until completion, providing regular updates without needing to be chased.
- Create structure around the Co-Founder’s workflow, reducing context switching and allowing more time for strategic work.
Research, Writing & AI Utilisation
- Conduct research across suppliers, products, services, markets, events, and business opportunities.
- Use AI tools extensively to draft documents, summarise meetings, prepare research, and speed up execution.
- Produce clear, professional emails, proposals, presentations, and briefing materials.
- Help simplify complex information into concise recommendations for the Co-Founder.

- The Co-Founder spends significantly less time on administration, logistics, scheduling, and follow-up.
- The Co-Founder rarely has to remember what needs chasing because you already have it covered.
- Meetings are prepared, logistics are handled, and priorities are always clear before the day begins.
- Important opportunities never fall through because follow-up is consistent and proactive.
- The Co-Founder gains meaningful hours back every week to focus on growth, partnerships, fundraising, and leadership.
- You become someone the Co-Founder can trust to handle sensitive tasks with professionalism, discretion, and minimal supervision.
Who You’ll Work With
- You will report directly to the Co-Founder.
- You may work with the Head of Business Operations where required.
- This is an individual contributor role with no direct reports.

You naturally notice things before others do. You enjoy creating order, closing loops, and ensuring that important tasks are completed without reminders.
You’re an excellent communicator who writes professionally, speaks confidently, and is comfortable representing the Co-Founder in first-touch conversations.
You embrace AI as a daily productivity tool and consistently look for ways to automate, simplify, and accelerate work.
Above all, you’re someone the Co-Founder can trust completely with confidential information, sensitive conversations, and important responsibilities.
What We’re Looking For
- Experience as a Personal Assistant, Executive Assistant, Executive Coordinator, or similar role.
- Excellent written and verbal communication skills.
- Strong organisational skills with exceptional attention to detail.
- Ability to manage multiple priorities simultaneously.
- Confidence handling outreach and professional communication.
- High proficiency with AI tools for drafting, research, and productivity.
- Excellent follow-through and ownership.
- High level of discretion and professionalism.
- Ability to work independently with minimal supervision.
Experience supporting a Co-Founder or senior executive is a strong advantage.
